Class parent meeting (adunare)

Who this is for: homeroom teachers (diriginte) · Where: Class parent meeting in the sidebar.

What this page is for

One meeting for all the parents of your homeroom class at once — the adunare. You propose a time, parents accept or counter-propose, and you confirm the final slot.

This is not the same as one-to-one meetings, which are private calls booked by individual parents.

Only a homeroom teacher can use this

The page needs a class you are diriginte of. If you have no homeroom, there is nothing here to schedule.

Proposing a meeting

Give it a title, an optional description, a date and a start time, and a duration.

The time grid runs from 12:00 to 21:00. Parent meetings happen in the afternoon and evening, so earlier starts are not offered.

When you pick a day, the page shows how busy each half-hour looks: a slot is flagged when parents in your class have already committed to another class meeting that overlaps it. Green means nobody is known to clash.

The meeting cannot be created for an empty class

If no parent in the class is linked to a pupil yet, you get an error instead of a meeting nobody would receive. Fix the links first — see Homeroom.

Every parent in the class is notified when you propose.

What parents do

Each parent either:

  • Accepts the proposed time, or
  • Declines and states when they are free — weekday plus a time range, as many windows as they like.

You see the running tally: accepted, declined, still to answer.

Finding a time that works

Suggest best time scans the next six weeks for the earliest slot where:

  • no parent has a clashing commitment, and
  • the slot falls inside the stated free windows of every parent who declined.

If it finds one, it fills the form. If it does not, no slot satisfies everyone — you will have to pick the least-bad time yourself.

Confirming, rescheduling, cancelling

Confirm locks the time in and sends every parent the joining details. A Google Meet link is required — the same https://meet.google.com/ format as elsewhere in the app. Without one, confirmation is refused, because a confirmed meeting with nothing to join helps nobody.

Reschedule moves the meeting to a new date and time. It reopens the meeting: every parent's answer goes back to "waiting", and they are all notified of the new time. Their stated free windows are kept — you do not lose the availability they already gave you.

Cancel marks the meeting cancelled. It stays in the list as a record.

Editing the title, description, duration or link on its own does not re-notify anyone — that is treated as a correction, not a change of plan.

Rules and limits

  • Homeroom teachers only, for their own class.
  • Time grid 12:00–21:00, in half-hour steps.
  • A valid Google Meet link is required to confirm.
  • At least one linked parent must exist in the class.
  • Rescheduling resets every answer, deliberately.
  • Availability shading is based on other class meetings parents have committed to — it cannot see their work or personal calendars.

Troubleshooting

"Suggest best time found nothing." No slot in the next six weeks satisfies every declining parent's stated windows. Either pick a time manually, or ask parents to widen what they submitted.

"A parent says they never got it." They must be linked to a pupil in the class. An unlinked parent is not a recipient. Check the roster in Homeroom.

"Confirm is refused." A Meet link is missing or is not a meet.google.com address.

"I rescheduled and lost all the answers." That is intended — the old answers were for a different time. The free windows parents gave you were preserved.
