Director setup checklist
Who this is for: the person who registered the school · Time: about an hour
Nobody else can start until you finish this. Teachers cannot be invited by anyone but you, classes do not exist until you create them, and a pupil who joins a class with no teacher assigned sees an empty portal.
Work through it in order — each step depends on the one above it.
Every screenshot below is marked with a ring or an arrow showing exactly where to click. There is no text in the images on purpose, so they read the same whichever language you are using.
Before you start: wait for approval
A new school is not open the moment you register it. Every school is reviewed first, and until it is approved every member — you included — sees a waiting screen instead of the app.
You do not need to do anything here. When the school is approved the screen disappears by itself the next time you open EduRol.
An invited teacher who accepts before approval lands on this same waiting screen, which reads as a broken invitation.
1. Set the price per pupil
This is asked during registration, and you can change it later in Settings → School.
Step 1.1 — Move the slider. The allowed range is 99–1000 MDL per pupil per year. The field refuses anything outside it.
Step 1.2 — Read the token line under the slider. This number is the point of the step: the price does not only set what parents pay, it sets how much AI the whole school can use per month. Every extra 5 MDL adds tokens to the school pool.
Step 1.3 — Save.
Pupils whose parents have already paid keep the tokens they were bought at. A new price applies to payments made after it.
If you are unsure what to charge, use Precalculate optimal price — it asks how many teachers and pupils you have and proposes a figure.
2. Invite your teachers
Where: Teachers in the sidebar.
Step 2.1 — Open the invite form.
Step 2.2 — Type the teacher's email address and send. They get an email with a link.
Step 2.3 — Check the pending list. A Pending invitations section appears above the teacher table while any invitation is outstanding, and disappears once they are all accepted — so an empty page here means everyone is in.
The invitation link works with a Google account or with an email and password. Teachers who have no Google account are not blocked.
3. Create classes and parallels
Where: Classes and parallels in the sidebar.
A parallel is one class group — 5 A, 5 B, 9 C. Create every one your school actually has, because a pupil can only join a group that exists.
Step 3.1 — Open the create form.
Step 3.2 — Pick the grade (1–12) and type the parallel letter.
Step 3.3 — Set the homeroom teacher. This matters more than it looks: the homeroom teacher (diriginte) is the only person who can invite pupils into this class and hand out the parent code. A class with no homeroom teacher cannot be joined by anybody.
Step 3.4 — Repeat for every parallel, then check the list.
4. Add the holidays
Where: Calendar in the sidebar.
Do this before teachers start planning. Holidays are what stop lessons being scheduled on days the school is closed — a teacher who fills a whole semester before you enter them gets lessons on the winter break.
Step 4.1 — Open the holidays section.
Step 4.2 — Add each holiday with its start and end date.
Step 4.3 — Check they appear on the calendar.
5. Assign teachers to classes
Where: Teaching assignments in the sidebar.
This is the step that decides who teaches what. Until a subject is assigned to a class, that subject does not exist for those pupils.
Step 5.1 — Check your subjects first. Open the Subjects tab. Each subject has a grade range — a subject set to grades 5–9 cannot be assigned to a grade-10 class, and its cell will be greyed out in the next step.
Step 5.2 — Open the matrix. Rows are your parallels, columns are subjects.
Step 5.3 — Click a cell and pick the teacher. Do this for every subject each class is actually taught.
A blank cell means nobody teaches that subject to that class. Pupils will not see it, and no journal is created for it.
6. Check the electronic journals exist
Where: Electronic journal in the sidebar.
Assigning a teacher creates the journal automatically, so this step is a check rather than work — but it is worth doing, because a missing journal is invisible until a teacher tries to enter a grade.
Step 6.1 — Open the list and switch to the current academic year.
Step 6.2 — Compare against your matrix. There should be one journal per class per subject per semester.
Step 6.3 — If something is missing, use the bootstrap button on that class. It asks which semester, then creates every missing journal for that class at once.
7. Share the tokens between teachers
Where: Teachers in the sidebar.
The school has one AI budget, set by the price you chose in step 1. Give each teacher a slice of it, otherwise the first teacher to generate a paper can spend the whole school's month.
Step 7.1 — Open a teacher's token budget.
Step 7.2 — Type the allocation and save.
Two rules the form enforces, both of which look like errors if you have not seen them before:
- You cannot allocate less than a teacher has already used this month.
- The sum of all allocations cannot exceed the school pool.
If the pool gets smaller, every allocation is scaled down proportionally rather than one teacher losing everything. A budget you did not set yourself is this, not a fault.
8. Send an announcement (optional)
Where: Announcements in the sidebar.
A director's announcement reaches every parent in the school. It is the usual way to tell families the school is live and that they should expect an invitation.
Step 8.1 — Write the message.
Step 8.2 — Send, then check the recipient list to confirm it reached the families you expected. Sent announcements are listed below the composer with the number of parents each one reached.

Troubleshooting
"Everyone sees a waiting screen." The school is not approved yet — see above. Nothing you can change from inside the app.
"A teacher accepted but cannot see any class." They have no teaching assignment. Go back to step 5.
"A pupil joined but their portal is empty." Same cause — the class has no subjects assigned, so there is nothing to show.
"A teacher says they cannot generate anything." Either they have no token allocation (step 7), or the school pool is spent for this month.
"There is no billing page for me." Correct — schools here are funded by parents paying per pupil, so there is nothing for a director to buy. What you control is the price in step 1.
