What this page is for
Your school's identity, the price families pay, and the one switch that changes how the whole product treats pupil data.
The settings page is a left-hand list of sub-sections — School settings, My profile, Security, Notifications — next to the panel for whichever one is selected.
School details
Name, description, country, city, website, school type, and your logo. These appear on official documents such as transcripts, so a missing logo or a wrong city shows up on printed paperwork.
You also set roughly how many pupils the school has (a size bracket, not an exact count) and the AI tone — formal, friendly, or mixed — which colours the wording of AI-generated material across the school.
Price per pupil
This single number does two jobs: it is what a family pays per pupil per year, and it determines how many AI tokens that pupil adds to your monthly pool.
- Range: 99 to 1000 MDL. Values outside are clamped.
- 99 MDL is the floor and grants the base 10,000 tokens per pupil.
- Every extra 5 MDL adds 10,000 tokens.
So 129 MDL grants 10,000 + 6 × 10,000 = 70,000 tokens for that pupil.
The Price per pupil card shows the current price, a slider running from 99 to 1000 MDL, and — updating live as you move it — how many tokens that price adds to the pool for every pupil, plus which AI features those tokens fund. Nothing is saved until you press Save price.
The pool is recomputed when a pupil's subscription changes, or when the stored budget lapses. A price change affects pupils who pay from then on. Existing subscriptions keep the grant they were bought at.
Precalculate optimal price
Rather than guessing, Precalculate optimal price walks through your teacher count, pupil count and the monthly token budget you want, then gives you the price that grants it. Applying it sets the price immediately.
The wizard is four steps, shown as a progress bar across the top of the dialog: 1. Teachers → 2. Pupils → 3. Tokens → 4. Price.
Step 1 — Teachers
How many active teachers will use the platform. Teachers are the ones who generate AI content, so this is what step 3's per-teacher estimate is divided by.
Step 2 — Pupils
How many pupils you have, or expect to have — this is what parents pay per, and it is the multiplier on the token ladder. Below the slider the wizard shows a rule-of-thumb suggestion for this pupil count (for example, "under 1,700 pupils — we suggest 5.0M tokens/teacher/month").
Step 3 — Tokens
Step 3 is where you choose the budget. It is your school's whole monthly pool, so its range is fixed by your pupil count and the token ladder:
- Minimum — pupils × 10,000 (everyone at the 99 MDL floor).
- Maximum — pupils × the grant at the 1000 MDL cap.
- One slider notch = one 5 MDL rung, so every position is a price you can actually be charged.
You can drag the slider or type the budget in millions of tokens — both are clamped to that range, so the calculator can never show a budget your pupils cannot fund.
Two ways to size it:
- From the budget — the panel shows roughly how many generations of each feature that budget buys, split evenly across features.
- From your plan — enter how many quizzes, lesson plans, images and so on one teacher makes in a month. The calculator totals the tokens, then multiplies by your teacher count to give the figure for the whole school, so it is directly comparable to the slider above. Use this as my budget feeds that school total back into the slider.
The per-feature costs differ by around thirty times. A quick quiz is a few thousand tokens; a full exam is a formal paper generated on the strongest model and charged per variant, so it costs tens of thousands. A plan with a hundred quick quizzes in it is genuinely far cheaper than one with a handful of formal papers — that is the pricing working as intended, not a miscount.
Step 4 — Price
Step 4 shows the recommended price and the tokens it grants, so the number you apply is tied to a token promise rather than an estimate. Apply & save sets the price immediately; Back returns to step 3 to adjust the budget.
Recommendations are always a real rung — 99, 104, 109 … Paying 100 MDL grants exactly the same tokens as 99, so the calculator never suggests it.
If the budget you ask for exceeds what the 1000 MDL cap can grant, it says so and blocks apply rather than silently clamping to a number you did not choose.
Require parental consent
Off by default. Turning it on changes your school's lawful basis for processing pupil data to parental consent — and the product enforces that.
With it on, a pupil whose parent has not consented:
- cannot have their profile viewed by teachers or directors
- is excluded from the at-risk board and from ranked leaderboards
- loses access to the pupil portal themselves
- shows their parent a consent request instead of their child's data
What continues regardless: teachers still record marks and attendance. Keeping the register is the school's legal obligation and a parent cannot opt out of it. What stops is the display and analysis layer on top.
The moment it is enabled, every pupil without consent on record disappears from staff views and loses portal access — which will generate immediate questions from families and teachers. Make sure parents know a consent request is coming before you flip it.
Staff cannot override the gate for an individual pupil. Only the parent can resolve it, from their own portal.
Rules and limits
- Directors only.
- Price 99–1000 MDL, clamped; tokens are 10,000 + 10,000 per 5 MDL above 99.
- Price changes are not retroactive.
- Consent is off by default and school-wide — not per class or per pupil.
- The register always records, consent or not.
Troubleshooting
"I raised the price but the pool did not grow." It applies to subscriptions bought after the change. It recomputes when a pupil's subscription changes or the stored budget lapses.
"Teachers say pupils vanished." You enabled consent and those parents have not consented. See above.
"The precalculator suggests more than 1000 MDL." It will not apply it. Either accept the cap or discuss a different arrangement — the calculator tells you the shortfall.
"The token slider will not go as low or as high as I want." That is deliberate. The range is your pupil count times what the price ladder can grant, so anything outside it is a budget no price could actually fund. Change the pupil count on step 2 and the range moves with it.
"The logo is missing from transcripts." Upload it here. Transcripts read the school record at generation time, so regenerate any produced before you added it.
