Transcripts (foi matricole)
Who this is for: homeroom teachers (diriginte) and directors · Where: Transcripts in the sidebar.
What this page is for
The official foaie matricolă for each pupil: grades per subject, averages, absences split into motivated and unmotivated, and conduct — as a PDF you can print, sign, stamp and hand over.
The flow is: generate → download → sign on paper → upload the signed copy back → the parent sees it.
Generating
Pick the class, the academic year, and the period — semester 1, semester 2, or the whole year — then generate. One transcript is produced per pupil in the class, in a single run.
Choosing the whole year produces a PDF split into three sections: semester 1, semester 2, and an annual summary showing both semester averages beside the annual one. It is not a flat merged list, because a transcript that cannot show which term a mark belongs to is not much use.
If you generate again for the same pupil and period, the stored data is replaced — and the signature, the uploaded file and the release to the parent are all cleared.
This is deliberate: the signed paper certified numbers that have now changed. Re-sign after regenerating.
An empty class produces an error rather than zero transcripts.
Downloading and signing
Download PDF gives you the clean unsigned document. Print it, sign and stamp it, scan or photograph it, then upload the signed file against the same pupil.
Accepted: PDF, JPG, PNG or WebP, up to 1 MB.
A scanned page compresses well below that. A file over the limit is usually a phone photo at full resolution — reduce it before uploading.
Once uploaded, the row shows who signed it and when, and the file can be viewed again at any time. Removing the signature deletes the file and withdraws the transcript from the parent.
What the parent sees
Nothing, until you upload the signed copy. Generating alone does not publish anything.
After upload, the transcript appears in the parent's Documents tab for that child, with a verified badge naming the signer and the date. Unsigned drafts are never visible to parents.
Who can do this
The homeroom teacher of that class, or a director. A subject teacher cannot generate transcripts for a class they merely teach.
Rules and limits
- Diriginte of the class, or director.
- One transcript per pupil, per period — regenerating replaces it.
- Regenerating clears the signature and un-releases it.
- Signed upload: PDF/JPG/PNG/WebP, 1 MB maximum.
- Parents see signed transcripts only.
- The document is rendered from a stored snapshot, so it does not change under you when a grade is edited later.
Troubleshooting
"Generate returns an error." The class has no pupils for that year, or you are not its homeroom teacher.
"My scan is rejected." It is over 1 MB or is not one of the four accepted formats. Scan at a lower resolution, or export as PDF.
"The parent cannot see it." The signed copy has not been uploaded. That upload is what releases it.
"I fixed a grade — does the transcript update?" No. It is a point-in-time snapshot. Regenerate it, then sign again.
"The annual PDF does not separate the semesters." Transcripts generated before this behaviour existed keep their original layout. Regenerate to get the split version.
