Audit log

Who this is for: directors · Where: Audit log in the sidebar.

What this page is for

A record of significant staff actions in your school: what happened, who did it, and when.

Use it when a mark changed and nobody remembers changing it, or when a class was promoted and you need to know who ran it.

What each entry shows

  • The action
  • A summary in plain language
  • The person who did it
  • When
  • Technical context — IP address, device hint — where captured

Searching and filtering

Filter by action type, or search the summary text. Search is debounced, so it waits until you stop typing. Results are paginated.

Picking an action type from the first dropdown narrows the list to just that kind of event — the event count in the header updates to match.

Retention — the important part

Audit entries are deleted after three months

A scheduled job removes entries older than 3 months. This is a data-retention requirement, not a storage limit — an audit trail that keeps identifiable staff activity forever is itself a compliance problem.

If you need an entry as evidence, export or screenshot it before it ages out. Once purged it cannot be recovered.

For context, in-app notifications are purged after 7 days, on the same schedule. That is why an old notification disappears while the underlying record — a grade, a homework — remains.

What is not logged

The log covers significant staff actions, not everything. Ordinary reads — viewing a page, opening a pupil profile — are not recorded, so absence of an entry is not proof nobody looked.

Rules and limits

  • Directors only.
  • Your own school only.
  • 3-month retention, enforced by a scheduled purge.
  • Filterable by action, searchable by summary, paginated.
  • Read-only — entries cannot be edited or deleted from the page.

Troubleshooting

"An action from last year is missing." It was purged. Three months is the window.

"I cannot find who changed a mark." Check the action filter is not excluding it, then search the pupil's name in the summary. Journal edits also leave their own per-entry history in the journal.

"The log is empty." A new school with little activity, or everything is older than three months.

"Can I export it?" Not from this page yet. If you need audit evidence regularly, say so — that is the use case that would justify building it, and the retention window makes it more pressing than most export requests.
